Job Description
Job Title | Front of House Coordinator (FoHC) | Location | London Waterloo |
Main Purpose of Job | The FoHC is responsible for the smooth and efficient running of reception and the wider office at Salt’s London office. This is a support role where the FoHC is expected to provide exemplary customer service to colleagues, clients, candidates, suppliers and members of the public. |
Main Responsibilities
Switchboard | Respond to incoming calls in a timely professional manner
Take messages Forward calls appropriately |
Visitors | Greet visitors
Advise colleagues that visitors have arrived Offer refreshments Ensure reception area is clean and tidy |
Meeting rooms | Support colleagues with room bookings
Ensure meeting rooms are tidy after use Assist with conferencing setup Book and manage offsite meetings/training sessions |
Facilities | Ensure the office environment is maintained to appropriate standards, including but not limited to:
Kitchen areas tidy and adequately stocked Fridges kept tidy and clean Bathrooms tidy and adequately stocked Printers tidy and operational Stationery is stocked |
Phones | Assign and set up telephone accounts as necessary on the CloudCall Portal
Distribute extension list updates Setup mobile devices |
IT | Support 3rd party IT support with new starter PC setup
Administration Maintain job board credits and setup for new starters |
New Starters | Setup desk space
Allocate lockers and entry fobs |
Supplier relationships | Monitor cleaning is carried out per contract
Liaise with service providers (plumbers, air conditioning engineers, handy man, landlord, cleaners, water cooler provider) |
Fire Safety | Coordinate the fire alarm testing, drills and evacuations
Act as fire marshal Coordinate fire marshal training |
Procurement | Place orders for stationery, fruit, drinks, business supplies as needed in a timely and cost-effective manner |
Travel | Books flights, hotels, taxis etc. on an ad hoc basis as required by colleagues ensuring time and cost efficiencies, in line with the appropriate approvals |
General administration | Managing incoming and outgoing post
Booking courier services Ad hoc filing Processing CEO expenses Ad hoc tasks as and when required by the business |
Marketing | Order merchandise as requested |
Support colleagues | Provide professional support to colleagues as and when needed |
Event management | Offer support to the business in booking events as and when needed. Includes attaining brief, venue/location research, negotiating contract booking, refreshments, travel, décor, agenda, managing budget limitations, post event close |
