Account Coordinator (Hybrid)

Ontario Contract / 12 months

Our client, a global marketing agency, is looking for an Accounts Coordinator to join their team.

The position entails supporting the day-to-day activities of the account services team; this will include market research, retail promotional material execution, building/managing time-lines, internal team work-flow management, invoicing and billing reconciliation, and assisting marketing campaign support. This individual will have the opportunity to take part in the briefing process on various projects with various levels of scope.

Duties and Responsibilities

* Support Account Services lead on multiple client requests.
* Play the pivotal role of coordinating between ideation, planning, and creative departments to ensure smooth development and implementation of client’s campaigns.
* Assist in communicating client’s needs thoroughly and effectively to other internal departments.
* Support the development of tactical briefs as required.
* Work directly with studio to execute tactical requests.
* Support budget tracking and invoice management.

->Financial:

* Docket management using company ERP system (Job, Estimate, PO creation etc.).
* Work with the Account Director and Account Executive to understand and manage the monthly billing, estimates and BCR.
* Work with partners for production and studio quotes.
* Ensure all vendor costs have been invoiced and are on budget.

->Project Process:

* Act as a main point of contact for client with regard to time-lines and budgets.
* Communicate in a timely fashion to the client if the project falls off time-line and budget.
* Manage client expectation if requests changes that are out of scope of original plan.
* Put forward solutions to PMO when project time-lines change.
* Provide teammates with status updates on job progress on a regular basis.
* Provide project reports, contact reports, and status updates to both internal and external stakeholders.

->Client Relationship:

* Respond to emails and phone calls from clients in a timely manner.
* Maintain a positive and productive working relationship with clients.

->Organizational:

* Demonstrate strong organizational skills by meeting all agreed upon deadlines.
* Prioritize workload and communicate to the Account Team.

Requirements

* Minimum 1-2 years in account service/project management role.
* Basic knowledge of Microsoft Teams, Microsoft Excel and Microsoft PowerPoint.
* High level of computer literacy: Must be web and online savvy, and understand and be conversant in all web/internet/online terminology.
* Demonstrate leading edge thinking capacity around consumer behavior in online space.
* Effective communication (verbal and written); Good command of the English language.
* Bachelor’s degree in Marketing, Advertising, Business, Communications or a related field.
