Our client is looking for an Executive Assistant who would be working directly with senior leadership to manage complex scheduling, internal and external communications, strategic project coordination, and high-level administrative tasks, ensuring that initiatives are executed efficiently and the needs of the executive(s) are met.
Key Responsibilities:
- Strategic Calendar Management: Independently manage the executive’s calendars by scheduling high-priority meetings, complex appointments, and travel arrangements while resolving conflicts and ensuring alignment with business priorities.
- Executive Communication Management: Serve as the primary point of contact for executives, exercising judgement to respond to phone calls, emails, and other correspondence with the appropriate level of discretion, often on behalf of the executive.
- Meeting and Event Coordination: Proactively organise high-level meetings, prepare agendas, gather critical materials, and facilitate communication among stakeholders to ensure smooth operations, while also capturing meeting outcomes and action items.
- Financial Administration: Oversee the tracking, submission, and reconciliation of expense reports for senior executives, ensuring that financial records are maintained with accuracy and in compliance with agency policies.
- Presentation Development: Collaborate with executives to create and organise presentations and supporting materials for internal meetings and/or client-facing sessions, ensuring quality and alignment with strategic goals.
- Travel Coordination: Manage complex travel logistics, including flight bookings, accommodation arrangements, and itinerary management for senior executives, ensuring business travel aligns with company protocols.
- Personal Errand and Assistance Coordination: Occasionally assist executives with personal errands and tasks, ensuring these responsibilities are handled discreetly and efficiently without impacting business priorities, all while maintaining a balance between personal and professional needs.
Skills and Qualifications:
- Proven ability to independently manage complex, time-sensitive tasks and prioritise responsibilities.
- Advanced proficiency in office productivity software (e.g., Microsoft Office Suite) and calendar management tools.
- Exceptional communication and interpersonal skills, with the ability to represent senior leadership with discretion.
- Strong organisational and project management skills with attention to detail.
- Ability to maintain confidentiality and handle sensitive information with a high degree of trustworthiness.
- Ability to exercise independent judgement in decision-making processes and prioritise critical tasks..
- At least 5 years of prior experience supporting senior level executive(s).
- Prior experience in the advertising, marketing, or related fields (preferred).
- Bilingual Korean strongly preferred but not required.
- Open to travel, extended hours and weekend work as necessary
- Must be able to be in-office Monday – Thursday.
