Project Coordinator – Wrike Administrator

12-Month Contract | Remote in the US – PST Work Hours | Global Tech + Retail Leader

We’re partnering with one of the world’s most recognizable consumer technology brands, known for its innovation in retail, marketing, and creative experiences. They’re currently seeking a Project Coordinator with Wrike Administration expertise to join their Retail Engagement, Marketing & Merchandising (REMM) team.

This role is a blend of project coordination, systems thinking, and workflow optimization-perfect for someone who lives at the intersection of creative operations and enterprise tools. You’ll play a critical role in helping internal teams maximize their use of Wrike, with responsibilities spanning architecture configuration, training, integration, and ongoing administration.

This is a fantastic opportunity to embed yourself with a highly cross-functional and fast-paced organization, supporting large-scale marketing and retail campaigns that span globally.

What You’ll Be Doing

  • Support the REMM team’s strategic and operational goals by customizing and managing Wrike workspaces, dashboards, and workflows.
  • Collaborate with project managers, creative producers, and stakeholders to understand business needs and translate them into efficient Wrike system solutions.
  • Design and deliver tailored dashboards and reporting tools that help surface capacity, campaign health, team utilization, and spend across retail initiatives.
  • Serve as the lead Wrike administrator-configuring request queues, user groups, and permissions while ensuring best practices are followed across the organization.
  • Train internal users (both 1:1 and in groups) on system functionality, best practices, and workflow adoption.
  • Regularly maintain and support Wrike’s health and structure, incorporating upcoming platform enhancements and integrations as needed.
  • Act as the bridge between business needs and system capabilities-helping stakeholders navigate competing priorities and maintain alignment on goals.
  • Represent Wrike strategy and operations in governance and leadership meetings.
  • Contribute to building a centralized data bank to track campaign performance, media spend, team capacity, and more.

What You Bring

  • 5+ years of experience working as a Wrike Administrator, Configuration Manager, Project Manager, or Consultant in a complex enterprise or agency setting.
  • Proven experience managing and scaling enterprise-level project management tools (Wrike, Workfront, Jira, etc.).
  • Strong command of Wrike’s advanced features including API integration, automation, calculated filters, dashboards, and reporting views.
  • Deep understanding of workflow systems and business process design, especially for creative, marketing, or retail organizations.
  • Experience developing training materials and conducting system onboarding for users at all levels.
  • Comfortable navigating both Agile and Waterfall methodologies, with the ability to adapt quickly in fast-changing environments.
  • Proficient in process mapping, documentation, and creating scalable SOPs for operational consistency.
  • Confident working across global teams and time zones, and able to represent platform best practices in high-stakes discussions.
  • Excellent communication skills, with a detail-oriented, proactive, and collaborative mindset.

Bonus Points For:

  • Experience working with Wrike as a customer, partner, or certified expert.
  • Familiarity with the creative operations landscape, especially in the retail, marketing, or tech space.
  • Strategic thinking paired with operational excellence and a passion for improving how people work.

If you’re passionate about workflow design, operational efficiency, and enabling creative teams through powerful project tools, this role offers an amazing opportunity to make a lasting impact inside a world-class organization.
