Job Title: Golf Coordinator

Main Purpose

The Golf Coordinator will provide support to the Head of Department, Senior Golf Managers, and the Golf Project Manager. The role involves administrative support, event conceptualization, and hands-on assistance with golf events. Candidates must be willing to work overtime, travel, and spend time away from home when required.

Key Responsibilities and Accountabilities

Frontline Support & Guest Relations

  • Act as the first point of contact for Pro-Am and Golf Day guests via RSVP platforms, email, or phone.
  • Deliver professional and friendly service by handling queries, sharing event information, and ensuring a smooth guest experience.

RSVP & Event Administration

  • Manage RSVP processes using platforms such as Pocket RSVP or Respond Now.
  • Coordinate invitations, follow-ups, and guest response tracking.
  • Create and maintain accurate RSVP records and provide updates to Tournament Leads.

Event Logistics and Materials

  • Assist with preparing event collateral (e.g., bag tags, accreditation, meal vouchers, armbands, parking cards, and guest materials).
  • Support Tournament Leads in assembling accreditation packs ahead of tournaments.
  • Coordinate supplier deliveries and ensure correct handovers to branding teams.

Stock and Storeroom Management

  • Oversee storeroom operations, ensuring safe handling and storage of branding, collateral, and event materials.
  • Conduct pre- and post-event stock takes, reconciling inventory and reporting discrepancies.
  • Monitor stock levels and flag replenishment needs proactively.

Supplier and Internal Coordination

  • Communicate with external suppliers regarding timelines, deliveries, and event requirements.
  • Maintain clear communication across Tournament Leads, branding teams, and other departments to ensure smooth event execution.

General Event Support

  • Provide on-site operational support during tournaments and events.
  • Assist in resolving operational issues in collaboration with Tournament Leads.
  • Contribute to post-event reviews and reporting to support process improvements.

Skills, Knowledge, and Abilities

  • Strong attention to detail with excellent time management.
  • Ability to multitask across several events simultaneously.
  • Effective problem-solving skills with logical, practical solutions.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Excel.
