Job Title: Golf Project Junior Manager

Job Purpose

This role provides support to the Golf Project Manager while independently managing small to medium golf events under supervision. Responsibilities include project coordination, event logistics, commercial administration, and creative input. The position requires flexibility to work overtime, travel, and spend time away from home.

Key Responsibilities

Project Coordination

  • Provide administrative support on large events (e.g., filing, drafting agendas, minutes, operations and event reports).
  • Manage small to medium golf events from planning and execution to reporting, handling all logistical and financial aspects with supervision.
  • Draft operational documents such as budgets, event guides, and post-event reports.
  • Respond to client briefs within agreed timelines, including concepts and budgets.
  • Maintain regular client communication, prepare accurate meeting records, and ensure scope changes are documented.
  • Support onsite event delivery, managing assigned projects and assisting senior managers when required.
  • Ensure health and safety compliance at all events.
  • Interpret client creative briefs, liaise with creative teams, and assess proposals for feasibility and cost-effectiveness.

Accreditation

  • Manage accreditation equipment and supplies (wristbands, ink, etc.), ensuring readiness for each tournament.
  • Coordinate accreditation distribution and brief supporting teams.
  • Monitor seasonal accreditation in alignment with Sunshine Tour requirements.

Frontline Support & Guest Relations

  • Serve as the first point of contact for Pro-Am and Golf Day guests via RSVP platforms, email, and calls.
  • Provide professional customer service, addressing queries and ensuring a smooth guest experience.

RSVP & Event Administration

  • Manage RSVP processes on tools such as Pocket RSVP or Respond Now.
  • Set up events, send invitations, track responses, and provide regular reports to Tournament Leads.
  • Maintain accurate RSVP records.

Event Logistics & Materials

  • Prepare event collateral (e.g., bag tags, accreditation, vouchers, armbands, parking cards).
  • Support the preparation of accreditation packs for tournament teams.
  • Track supplier deliveries and ensure accurate handovers.

Stock & Storeroom Management

  • Manage storeroom inventory and event materials.
  • Conduct stock takes pre- and post-events, reconciling and reporting discrepancies.
  • Monitor stock levels and coordinate replenishment.

Administration & Internal Processes

  • Handle administration for assigned events, including filing, reports, quotes, purchase orders, invoicing, and supplier registrations.
  • Provide weekly status updates to the Golf Project Manager, flagging risks, opportunities, or concerns.
  • Ensure compliance with internal systems, controls, and client financial requirements.

Financial Administration & Management

  • Draft budgets for small and medium events.
  • Manage financial administration (quotes, POs, invoicing, reconciliations) for assigned events.
  • Support financial processes for large events where needed.
  • Ensure all supplier invoices and client recons are completed within 45 days post-event.

Education & Experience

  • Relevant Diploma/Degree qualification
  • 3-5 years’ experience in events, project management, or a related field
  • Proven experience managing supplier accounts and working in high-pressure environments
