Job Description

You will be part of the Portfolio Management team.

The Portfolio Management team is there to facilitate a strong alignment of the IT investments with the Group and CSD Strategic and Business Objectives.

The portfolio management team is focusing on the following dimensions:

  • Ensure fit for purpose investment portfolio governance focused on business value is in place
  • Connect portfolios to corporate strategy, business & technology roadmaps to ensure optimised and prioritised portfolios
  • Monitor the delivery plans during the execution of the portfolio strategy and facilitate dynamic resource balancing through quarterly QBR cycle
  • Stay on top of allocated Portfolio Budgets & Resources committed to support the delivery
  • Provide operational support to run the portfolio meetings (monthly cyclicality)

Role & responsibilities:

We have moved to a governance model based on “Investment Themes” (replacing the previous ‘Portfolio Management’ structure). This way we aim for a closer collaboration between different parts of the organisation to:

  • have a cross-entity view on group resources, so we can promote and use them as appropriate, whether it’s budget, people or other assets;
  • create a multi-year approach towards projects;
  • put focus on the outcome, instead of the process, always in line with our Corporate Strategy, Vision and Purpose;
  • have a more central steer from the our Management Committee and the entities CEOs to build a realistic execution plan.

We started this journey in January and we have reached a certain level of maturity in our governance / processes.

To continue on this change journey, we have defined an improvement project to bring the processes surrounding the Investment Theme committees to a higher level of maturity.

  • Create operational guidelines, both upstream (dynamics from and towards the Group Executive Committee and business & IT decision Bodies) and downstream (interaction with steering committees and Product Owners at various levels of project execution) and perform change management.
  • Specify the information system which supports those “Managed strategy” and “Managed portfolio” processes, as well as best practices of data governance and management around it (clear ownership and custody, quality assurance and control).
  • Further evolve our existing tooling and reporting, including integration with downstream processes and systems
  • Update Investment Theme (portfolio) management process documentation (policy handbook, process guidelines, terms of reference).

We are looking for a project manager / analyst (and help on the change management) for this improvement project.

  • As Project manager / analyst, you will be responsible for delivering quality results on time, within budget and within the defined scope for improvements aiming at increasing the maturity of our portfolio management practices.
  • You will define and document the requirement, scope, approach in a project brief; get it signed-off by the project sponsor. Where applicable, you will define an appropriate Change Management approach & plan. You will identify and engage with the stakeholders.
  • You will participate to or drive facilitation workshops for the definition the scope and follow-up of action plans.
  • You will apply a structured methodology for project and change management and actively contribute to change management activities such as communication, training, documentation, measuring the impact and reporting status.
  • You will be given autonomy to design, create, present, communicate and roll-out solutions.

Skills required:

Excellent English communication / presentation skills (both written and verbal), including ability to articulate messages to variety of audiences;

  • Active listening skills;
  • Ability to establish and maintain strong relationships and ability to influence others and move toward a common vision or goal;
  • Analytical and problem-solving skills; ability to work in undefined/ambiguous situations;
  • Organizational skills; this includes the ability to multitask, to prioritize, to manage (own) time, manage risks and to document everything for easy access and future reference;
  • Experience with and applied knowledge of Change Management principles, methodologies and tools; ADKAR certification is a plus;
  • Delivery mindset, autonomy, self-criticism, appetite for learning, continuous improvement, collaboration and good team spirit.
  • Ability to create impactful presentations;
  • Assertiveness to drive tasks to completion;
  • Experience with ServiceNow project portfolio management is a plus;
  • Experience with reporting platforms (e.g. BI or analytics) is a plus;
