Administrative Assistant

Working type: Office-based, 9am-6pm Monday to Friday
Salary: £27,000 – £30,000 per annum
Our client is a successful independent town planning consultancy led by experts in handling high profile and challenging projects. They have a track record of successfully guiding their clients through the complex UK planning system.
This is an exciting opportunity to join an Employee Owned Trust with a friendly, busy and growing team of 40 within the administrative side of the business in a pivotal and varied role with scope to develop skills and career. We are looking for a bright, personable, vibrant and committed person to join us during a period of growth. You will support the Head of Finance and Operations, Board of Directors, Office Manager and wider team across the business. This is a heavily involved role, with scope for the right person to take on more responsibility over time.
Key responsibilities include:
● Reception duties: including greeting clients and visitors, answering calls and fielding them accordingly, addressing client questions and team needs to provide a welcoming experience.
● Meeting room management and associated logistics.
● Monitoring and ordering office supplies.
● Provide administrative support across all areas of the business such as office and business operations, HR, finance, marketing and events, and IT.
● Facilitate administrative improvements and developments as the business grows.
● Support the team with time-critical tasks and deliverables by supporting printing, photocopying, digital formatting and binding requests.
● General upkeep of the office, business records and databases.
● Supporting the finance team with monthly invoicing and debt collection.
● Supporting the collation of team expenses and petty cash handling. ● Other administrative work as and when required
What we’re looking for:
● Prior experience in an office environment (internships, placements or office-based customer service roles also considered)
● Excellent written and spoken English is essential, as the role includes preparing a high standard of professional correspondence and documents where precision of language is critical
● Careful attention to detail with grammatical and numerical accuracy
● Strong written and verbal communication skills
● Strong organisational skills and the ability to be proactive and prioritise assigned tasks
● Strong IT literacy with confidence in using Microsoft packages
● Proactive problem solving skills
● Professional, courteous and self-motivated
● The ability to work as part of a team
● Willingness to learn and happy to ‘pitch in’ to support all colleagues where needed
● Self-motivated to grow and develop with the business and contribute to its success
